Plan a Last Minute Gathering

Design a rapid group planning flow that finds an available place, confirms attendance, and divides urgent tasks.

The brief

Understand the problem

Background

A gathering planned for tonight does not need a full event platform. It needs a quick decision about time, place, attendance, food, access, and who will do what before options disappear.

User context

Rosa wants to organize a birthday dinner for eight people in four hours. The group has one wheelchair user, two dietary restrictions, and no confirmed venue.

Product problem

The product must collect availability without a long poll and turn uncertain responses into a decision before booking cutoffs.

Objective

Create rapid setup, invitation response, venue shortlist, task assignment, and final update for a same-day gathering.

What to design

Define the experience

Required experience

  • Quick event setup
  • Structured RSVP
  • Venue decision
  • Task coordination and final brief

Screens and states

  • Event setup
  • Invitation response
  • Venue shortlist
  • Task board
  • Final plan

Core user flow

Follow the critical path

  1. 01

Rosa proposes a time window and area

  2. 02

Invitees respond with attendance and needs

  3. 03

    The app narrows available venues

  4. 04

The group confirms one place and assigns cake and transport tasks

Product rules

Requirements and constraints

Requirements

  • Support yes, maybe, no, and arrival-time responses
  • Collect dietary and access needs privately
  • Show venue availability freshness
  • Set decision deadlines
  • Send one clear final update

Constraints

  • Venue inventory changes rapidly
  • Not every guest installs the app
  • Contact access must be optional

Reality check

States worth considering

Several guests do not respond
The selected venue fills
Guest count changes
A task owner drops out
The organizer changes the time

Ready-to-use content

Mock data

Use this content to test hierarchy and realistic data states. You can expand it when the concept needs more depth.

Tonight's plan

  • Dinner between 19:00 and 20:00
  • 6 yes, 1 maybe, 1 no response
  • Needs: step-free entry, vegetarian choices, no shellfish
  • Venue hold expires at 16:45

Finish line

What to deliver

  • Five mobile screens
  • A compact guest response component that captures practical needs

If you want more

Optional extensions

Add shared expenses
Design an event-free alternative when no venue works

Optional direction

Visual resources

Use these as a starting constraint if you want one. They are not part of the required solution.
