Workplace Accommodation Request
Design a confidential employee flow for requesting an accessibility accommodation and tracking the interactive review process.
The brief
Understand the problem
Background
Employees may need changes to equipment, schedule, communication, or workspace. Request systems often ask for too much medical detail and provide little visibility into who can see a case or when a decision is due.
User context
Tariq has a repetitive strain condition and needs speech input software plus fewer back-to-back meetings. He wants to describe work barriers without disclosing his complete medical history to his manager.
Product problem
The process must gather enough information for a collaborative review while protecting sensitive data and supporting alternatives rather than a simple approve or deny result.
Objective
Design request intake, privacy review, case discussion, and accommodation decision for an employee accessibility case.
What to design
Define the experience
Required experience
- Describe a work barrier and proposed support
- Review data visibility before submitting
- Respond to a focused clarification request
- Accept, discuss, or appeal the accommodation plan
Screens and states
- Accommodation intake
- Privacy and consent review
- Case timeline
- Decision and next steps
Core user flow
Follow the critical path
- 01
Tariq selects equipment and meeting-pattern barriers
- 02
He submits functional information and limits manager-visible details
- 03
An accessibility specialist asks one targeted follow-up question
- 04
Tariq accepts the software trial and requests discussion of meeting changes
Product rules
Requirements and constraints
Requirements
- Focus intake on barriers and job functions rather than diagnosis
- Show every role that can access each data category
- Support temporary measures while review is pending
- Document decisions, alternatives, review dates, and appeal routes
Constraints
- Medical attachments need restricted access and retention
- A manager cannot see information beyond their operational need
- The workflow must support regional policy differences
Reality check
States worth considering
Finish line
What to deliver
- Four responsive screens with employee and reviewer access annotations

Use these as a starting constraint if you want one. They are not part of the required solution.
